Acted PSEAH Policy:

(Emergency Project Assistant) has the responsibility to adhere to the PSEAH Policy (Protection against Sexual Exploitation, Abuse and Harassment). The (Emergency Project Assistant) has the obligation to complete all mandatory trainings related to the Code of Conduct and the PSEA policy and report any safeguarding concern such as breaches of organisational policies or codes of conduct according to Acted’s procedures. The (Emergency Project Assistant) carries out work duties in a way that does not harm children, vulnerable adults or other staff or volunteers

Location: Idleb Governorate

Job Purpose:

The Project Assistant under the supervision of the Project Officer will be responsible for monitoring and implementing emergency activities in the field in the Idleb governorate.

Objectives:

  • Implement emergency activities.
  • Complete deliverables to specification and within the timeline.
  • Represent Program and acted in Relevant Sectors.
  • Provide required information to relevant parties as dictated by contract and procedures.
  • Identify best practices and lessons learned.

Duties and Responsibilities:

  • Support needs assessments, demographic assessments, market assessments, and market monitoring activities in targeted areas.
  • Contribute to registration, distribution, and implementation of project activities in line with acted standards.
  • Assist in ensuring the accuracy and completeness of collected data.
  • Support in preparing and organizing beneficiary lists and distribution-related documents.
  • Provide timely updates to the supervisor on progress, challenges, and field observations.
  • Respect and protect the rights and dignity of all beneficiaries during all activities.
  • Participate in price collection activities, ensuring careful and accurate data gathering.
  • Maintain confidentiality of all data, documents, and participant information.
  • Ensure daily and weekly registration and distribution records are completed and submitted to the Officer.
  • Report any concerns related to safety, efficiency, or effectiveness of distributions to the Officer.
  • Provide basic support and guidance to daily workers as needed.
  • Support distribution activities and ensure adherence to required safety procedures, including communication and road‑safety protocols.
  • Ensure that all staff involved in registration and distribution processes protect the rights and dignity of community members.
  • Maintain accurate and organized project documentation at the field level.
  • Insure all the information from beneficiaries for the project is collected,
  • Necessary documentation for project completion is in place.
  • Provide high-quality support and supervision to Outreach and Daily Workers.

Key Performance Indicators:

  • 95% of Planned Daily activities are implemented in time.
  • Number of Food and non- Food distributions that were followed and participated in.
  • Number of documents and payments reviewed.
  • Number of reports prepared and shared with project officers on time.
  • Number of registrations and assessments conducted during the project cycle.
  • 100% of the program documentation produced during beneficiary’s identification, selection, and registration process are timely submitted, and transparent in accordance with the program guideline.

QUALIFICATIONS:

  • College or University degree or undergraduate.
  • At least 2 years of experience with emergency programs including food and/or NFI with an in-kind, voucher, and cash modalities.
  • Past job experience for at least 2 years in similar position.
  • Fluent in Arabic (Reading and Writing).
  • Excellent organizational and program management skills and the ability to anticipate program needs.
  • Demonstrated proficiency with MS Office software (MS office Excel, Word and Outlook)
  • Excellent use of data collection tools such as KOBO, ODK, and iForms.
  • Excellent communication skills.
  • Ability to work in challenging environments.
  • Good English skills or more is highly preferred.
  • Demonstrated ability to work effectively in a team environment
